These terms govern your use of Referloop, operated at referloop.org. By creating an account, you agree to them. If you don't agree, please don't use the service.
What Referloop is
A directory and referral-tracking tool connecting local professionals ("referrers") to personal trainers and gyms ("PTs"). Referrers search for and refer clients to PTs; PTs receive and respond to those referrals. Clients themselves don't have accounts and don't use the platform directly.
Eligibility and accuracy
Referrers must be genuine professionals and must provide accurate information about their profession and workplace. PTs must provide accurate, honest information about their qualifications, specialisms, and insurance status — this is self-declared, and we carry out a manual check (certificates verified and a call with them) before a PT is listed, but we rely on what you tell us being true. We may decline to list, suspend, or remove any account at our discretion, including where information provided turns out to be inaccurate.
Referrer responsibilities
When you send a referral, you confirm that the client has consented to their name and any notes you include being shared with the PT you select. You're responsible for actually obtaining that consent before submitting a referral — Referloop requires you to confirm it, but isn't party to that conversation and can't verify it independently.
Subscriptions and payment (PTs)
PT listings are billed monthly, cancel any time, with no long-term contract. Referrer accounts are always free. Cancelling stops future billing, but your listing stays active until the end of the billing period you've already paid for — we don't offer refunds for partial billing periods, and we don't cut off access early either. We may change pricing with reasonable notice; continuing to use the service after a price change takes effect means you accept the new price.
No guaranteed results
A paid PT subscription guarantees a listing in the local directory once verified — it does not guarantee any particular volume of referrals, or any client outcome. Referral matching is always based on fit (specialism, proximity, and relevant experience), never on subscription tier, and we don't manipulate ranking in exchange for payment.
No commission
Referloop does not pay referrers for referrals, and referrers may not charge PTs (or accept payment from them) for sending referrals through the platform. This keeps referral decisions based on fit, not payment.
Acceptable use
Don't use Referloop to submit false information, harass other users, or attempt to access data that isn't yours. We may suspend or terminate accounts that misuse the service.
Liability
Referloop is a directory and communication tool between independent professionals — we're not a party to, and aren't responsible for, the training or clinical relationship between a referrer, a PT, and a client. To the extent permitted by law, we exclude liability for indirect or consequential loss arising from use of the service.
Governing law
These terms are governed by the laws of England and Wales.
Changes to these terms
If we make material changes, we'll update the date at the top of this page.
